FAQs
About Microsoft Dynamics 365 Business Central
Dynamics 365 Business Central and Dynamics 365 Finance and Supply Chain Management are designed for different levels of size and complexity. Dynamics 365 Business Central is a strong fit for small and midsize organizations that need robust financials, inventory, light to moderate manufacturing, and service capabilities with faster implementation and simpler administration. Dynamics 365 Finance and Supply Chain Management is better suited for very large, or highly complex, enterprises that require advanced global, compliance, and supply chain functionality.
If a company’s requirements align more closely with Finance and Supply Chain Management, we will be transparent about that and will introduce trusted partner firms we work with that specialize in F&SCM.
Both platforms are very capable ERPs. Dynamics 365 Business Central is often the better fit for small and midsize organizations. It integrates natively with the Microsoft ecosystem, including Excel, Outlook, Teams, and Power BI, which reduces user friction and speeds adoption. Business Central also offers more transparent licensing, a smoother upgrade path, and greater flexibility through Microsoft supported extensions. As a result, many companies find it faster to implement, easier to maintain, and more adaptable over time than NetSuite.
Absolutely. It is designed to do so. You can add users, modules, companies, and integrations over time.
Dynamics 365 Business Central fits companies that have outgrown entry level tools but want to avoid the complexity of full enterprise ERP. For enterprise or some unique regulation scenarios where Dynamics 365 Finance & Supply Chain Management may be a better fit.
Yes. It is designed specifically for SMBs but built on the same enterprise-grade Microsoft cloud platform used by larger organizations.
Dynamics 365 Business Central is Microsoft’s cloud ERP for small and midsize businesses. It replaces disconnected tools, spreadsheets, and legacy ERP systems with one integrated system for finance, operations, inventory, projects, and service.
AI, Copilot, and Agents in Dynamics 365 Business Central
By reviewing historical purchase invoice lines in Dynamics 365 Business Central, exporting them to Excel, and using Copilot to calculate average lines per document, you can estimate AI usage and model potential costs in advance.
Yes. All AI and Copilot capabilities consume Microsoft AI services and may require additional capacity based on usage and volume. We plan for this early to avoid surprises.
AI agents are designed to assist, not replace, users. They surface recommendations, draft actions, and highlight exceptions, while people remain in control of approvals and final decisions.
AI agents can assist with areas such as demand planning insights, purchase and production recommendations, invoice and document processing, exception handling, and summarizing operational or financial data for decision makers.
AI agents that are built directly into Dynamics 365 Business Central are enabled as part of the platform. Beyond that, Custom Systems helps design and deploy additional AI agents and automations outside of native Dynamics 365 Business Central features, where it makes sense, to support specific business processes and workflows.
Microsoft has introduced a set of AI agent capabilities in Dynamics 365 Business Central that help automate routine ERP tasks and assist with decision-making. Key agents and features include:
- Sales Order Agent – Automates intake and processing of sales orders from email and attachments, interprets unstructured content, and creates accurate sales documents with oversight.
- Payables Agent – Helps automate vendor invoice processing and related tasks to reduce manual AP work.
- Bank Account Reconciliation Assist – Enhances standard reconciliation by handling more complex banking discrepancies with AI support.
- Analysis Assist – Allows users to ask natural language questions and get instant insights or data summaries without building complex queries.
- Custom AI Agents (via Copilot Studio and Power Platform) – Extend or tailor agents for specific scenarios beyond built-in agents, such as document processing, predictions, workflows, or role-specific assistants.
These agents are designed to reduce manual effort, improve accuracy, and support high-volume or repetitive processes while keeping users in control of approvals and exceptions.
Accurate data, clear processes, and user adoption come first. AI and agents are most successful when built on a solid operational foundation.
Dynamics 365 Business Central includes Microsoft Copilot features that assist with analysis, summaries, suggestions, and task automation directly within the ERP. These are designed to reduce manual effort and help users work more efficiently.
Inventory, Manufacturing, and Operations
Dynamics 365 Business Central works best with several common manufacturing models, including:
- Discrete manufacturing, where individual items are built or assembled, such as machinery, components, or finished goods.
- Assembly and light manufacturing, where products are assembled from parts rather than produced through long production runs.
- Make to order manufacturing (MTO), where production starts only after a customer order is received.
- Make to stock manufacturing (MTS), where products are built for inventory based on forecasts.
- Engineer to order manufacturing (ETO), where products require design or configuration before production begins.
For very process-heavy or formula-driven manufacturing, such as chemical or batch production, Dynamics 365 Business Central can still work but can require utilizing an ISV.
Yes. Dynamics 365 Business Central lets you track variations such as size or color under one product, reducing the need to create and maintain separate SKUs for every option.
It supports cycle counting so inventory can be counted regularly without a full shutdown.
Yes. Dynamics 365 Business Central supports discrete manufacturing, machine and work centers, and subcontracting.
The planning engine evaluates demand, supply, lead times, reorder points, and safety stock to suggest planned orders.
Yes. Dynamics 365 Business Central can automatically explode bills of materials and generate production and purchase suggestions based on demand, forecasts, and planning parameters. In addition, Custom Systems helps deploy Microsoft AI agents and Copilot capabilities to assist with planning insights, exception handling, and decision support, helping teams act faster and with more confidence.
Dynamics 365 Central supports multi-location inventory such as warehouses, bin tracking, lot and serial numbers, transfers, adjustments, and returns. Advanced warehouse requirements can be addressed with ISVs when needed.

We map roles to license types so heavy users have full access and light users use lower cost options where possible.
- Essential licenses cover core business functions such as finance, inventory, sales, and purchasing.
- Premium licenses include everything in Essential, plus manufacturing and service management for teams that need those capabilities.
- Team Members licenses are designed for light users, such as executives or managers, who primarily need to view data, run reports, approve transactions, or perform limited tasks without full system access.
We help map roles to the right license type so users have what they need without over-licensing.
Licensing is per user per month, with different license types based on role and functionality.
